Crewcommander Pty Ltd (ABN 72 702 557 202), trading as Crewcommander (“we”, “us” or “our”), provides workforce and crew management solutions to businesses across Australia. We are committed to handling personal information responsibly and in accordance with the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles (APPs).
This policy explains how and why we collect personal information, the choices available to you, and how you can access, correct or complain about the way we handle your information.
2. Personal information we collect
The types of personal information we may collect include:
- Contact details, such as your name, email address, business address and role or position;
- Business details, including company name, ABN and information relevant to workforce requirements;
- Details of enquiries, quotations and correspondence you send to us;
- For crew members, contractors and applicants: qualifications, licences and tickets (such as White Card or high-risk work licences), availability, work history and compliance documentation relevant to rostering and site requirements;
- Information required to meet our workplace health and safety, insurance and statutory obligations;
- Technical information collected through our website, such as pages visited, browser type and device information.
We do not collect sensitive information (such as health information or criminal record information) unless it is reasonably necessary for lawful crew compliance or safety purposes and you have consented, or the collection is otherwise permitted or required by law.
3. How we collect personal information
Wherever practicable, we collect personal information directly from you. This may occur when you:
- Submit an enquiry, quote request or form through our website;
- Contact us by email at ceo@crewcommander.online;
- Engage our workforce and crew management services;
- Apply for or register interest in crew or contractor opportunities;
- Communicate with our team during onboarding, rostering or account management.
In some circumstances, we may collect personal information about you from third parties, such as a client organisation engaging us to manage crew on its behalf, or from publicly available sources and referees, where it is unreasonable or impracticable to collect the information directly from you.
4. Why we collect and use personal information
We collect, hold, use and disclose personal information for purposes including:
- Providing our workforce and crew management solutions, including rostering, scheduling and crew coordination;
- Responding to enquiries and preparing quotations;
- Administering accounts, invoicing and payment;
- Verifying licences, tickets, qualifications and site-readiness for safety and compliance purposes;
- Meeting our legal, regulatory, insurance and workplace health and safety obligations;
- Improving our services, website and communications;
- Direct marketing, where permitted and subject to your right to opt out (see section 8).
If we cannot collect the personal information we require, we may be unable to provide our services, process your enquiry or engage you as crew.
5. Anonymity and pseudonymity
Where it is lawful and practicable, you may deal with us anonymously or using a pseudonym. For example, you may make a general enquiry about our services without providing your name. However, in most cases it is not practicable to deal with you anonymously, as we need to identify you to provide services, process quotations, or verify crew credentials.
6. Disclosure of personal information
We may disclose personal information to:
- Client organisations in connection with the supply of crew and workforce services, including for site access, inductions and compliance verification;
- Service providers who assist us with hosting, cloud storage, email, accounting, payroll, insurance and IT support, under contractual confidentiality obligations;
- Professional advisers, such as our accountants, auditors and lawyers;
- Government agencies, regulators, industry bodies or law enforcement, where required or authorised by law;
- Any other person with your consent, or where you would reasonably expect the disclosure.
We do not sell personal information.
7. Overseas disclosure
Some of our service providers, including cloud hosting and email providers, may store or process personal information on servers located outside Australia. Where personal information is disclosed to a recipient overseas, we take reasonable steps to ensure the recipient complies with the Australian Privacy Principles, or is otherwise bound by legally enforceable obligations that are substantially similar to those principles, as required by APP 8.
8. Direct marketing
We may use personal information to send you information about our services, industry updates and offers, where you have consented or where you would reasonably expect this. Every marketing communication includes a simple means of opting out. You may also opt out at any time by emailing ceo@crewcommander.online. We will action opt-out requests promptly and will not charge you for doing so.
9. Cookies and website analytics
Our website may use cookies and similar technologies to improve functionality, understand how visitors use the site and measure the performance of our content. Cookies are small files stored on your device. Most browsers allow you to refuse cookies or delete them through your browser settings; however, some website features may not function fully if cookies are disabled. Aggregated analytics data is used to improve our website and does not identify you personally.
10. Security and retention of personal information
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These steps include access controls, secure storage systems, staff confidentiality expectations and secure destruction practices.
We retain personal information only for as long as reasonably necessary to fulfil the purposes for which it was collected, to comply with legal, tax and record-keeping obligations, and to resolve disputes. When personal information is no longer required, we take reasonable steps to destroy it or de-identify it.
11. Access and correction
You have a right to request access to the personal information we hold about you, and to request correction of information that is inaccurate, out of date, incomplete, irrelevant or misleading. To make a request, email ceo@crewcommander.online with details of the information you seek. We will respond within a reasonable period, generally within 30 days, and will not charge a fee for making the request. In limited circumstances, we may decline a request where permitted by law; if so, we will explain the reasons and the avenues available to you.
12. Notifiable data breaches
If we become aware of an eligible data breach that is likely to result in serious harm to individuals whose personal information is affected, we will assess the breach promptly and, where required under the Notifiable Data Breaches scheme, notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as soon as practicable, along with recommendations on the steps individuals should take.
